All activities advertised on our website are operated by Optimal First Aid Ltd, a company registered in England and Wales (Company Number: 13293924). By booking with us, you agree to be bound by these Terms and Conditions.
- Booking notice & payment
- We require full payment for all courses at the time of booking to secure the booking.
- Bookings are not confirmed until payment is received
- Cancellation notice:
- 4 weeks (28 days or more) full refund.
- 28 days or less before start date – 50% of total amount due
- 5 days or less before start date – 100% of total amount due
- These terms are non-negotiable.
- Cancellations must be made in writing to: info@optimalfirstaid.co.uk
- Force majeure (including illness, bereavement & emergencies)
Optimal First Aid Ltd is not liable for cancellations or disruptions caused by events outside our control, including but not limited to:
- Severe weather, fire, flood, or natural disaster
- Illness, injury, or medical emergencies
- Death or bereavement (participant or immediate family)
- Pandemics or public health restrictions
- Transport disruption or accidents
- Industrial action or strikes
- Acts of terrorism, war, or civil unrest
- Government restrictions or lockdowns
No refunds will be provided in these circumstances however ee will make every effort to reschedule at a mutually convenient date.
- Transfers:
Bookings with Optimal First Aid Ltd are normally non-transferable. However, we may, at our discretion, allow a transfer to another individual or to an alternative course date, subject to the availability and the conditions below:
Transferring to another course date
If we agree to move your booking to a different course date, and subject to availability the following transfer fees will apply:
- 4 weeks (28 days or more) no charge
- 28 days or less before start date – 25% of total course fee
- 10 days or less before start date – 50% of total amount due
If a transfer is offered this will only be offered once per booking. After this transfer has been made, no further transfers or refunds will be issued.
- Cancellation by Optimal First Aid Ltd
While we aim to deliver all courses as scheduled, we may cancel or reschedule due to unforeseen circumstances such as instructor illness, venue unavailability, insufficient bookings, or operational issues.
- Clients will be notified as soon as possible.
- We will make every effort to reschedule at a mutually convenient date.
- If rescheduling is not possible, we will offer alternative dates.
- If no suitable date is available, a full refund will be issued.
- Optimal First Aid Ltd is not liable for additional costs (e.g., travel, accommodation, loss of earnings)
- Attendance & participation
- Non-attendance: Failure to attend (for any reason, including illness/emergencies) is treated as a cancellation. No refund or alternative date will be offered.
- Lateness/partial attendance: Learners arriving late or leaving early may be refused training if learning outcomes cannot be met. The full course fee remains payable.
- Insurance recommendation
Clients are strongly advised to take out suitable insurance to cover illness, emergency, or other unforeseen cancellations, particularly when travel or accommodation is booked.
- Limit of liability
Our liability is limited to course fees paid. We are not responsible for travel, accommodation, or loss of earnings resulting from cancellations.
- Training materials & equipment
- All equipment and training materials remain the property of Optimal First Aid Ltd unless otherwise stated.
- No copying, reproduction, or publication of course materials is permitted without written consent.
- Resale of bookings
You are not permitted to resell or offer your course place for resale at a premium. Doing so may result in cancellation of the booking without refund.
- Training venue requirements (Private Courses)
- The training room must be well-lit, ventilated, and used solely for training without interruptions.
- Venues must have sufficient space for both seated learners and practical activities (recommended minimum: 25ft x 18ft for up to 12 learners).
- Furniture should be arranged to allow safe practical training.
- Clients are responsible for ensuring venues meet HSE requirements.
- Instructors will complete a venue-specific risk assessment before training.
- Optimal First Aid Ltd is not responsible for securing, setting up, or cleaning the venue
- Course certification
- From July 2024, we independently certify First Aid at Work, Emergency First Aid at Work, and Outdoor First Aid courses.
- Our quality assurance systems comply with national standards.
- E-certificates are issued within 1–2 weeks of course completion, subject to QA checks.
- Health, fitness & behaviour
- Any health conditions or disabilities must be declared when booking.
- Learners must be physically capable of performing 2 minutes of CPR at floor level.
- Active participation is required — this is practical training, not observation-only.
- Learners must be suitable for certification as first aiders. If health, behaviour, or ability compromises safety or the learning environment, learners may be asked to leave without refund.
- Updates to Terms & Conditions
These Terms may be updated periodically. Continued use of our services constitutes acceptance of any changes. The date at the top of this document reflects the latest revision.
