Terms and Conditions – Optimal First Aid Ltd

Company Details

These Terms and Conditions apply to all training courses and services provided by Optimal First Aid Ltd, a company registered in England and Wales (Company No. 13293924).

By making a booking, you confirm that you have read, understood and agree to these Terms and Conditions.

Booking & Payment

Full payment is required at the time of booking to secure your course date. Bookings are not confirmed until payment has been received.

The invoice issued at the time of booking covers the full cost of the training course. Where an external awarding organisation learner registration fee applies (for example, Qualsafe Awards), this will be invoiced separately after the course has been completed. This ensures registration fees are only charged for learners who attend and complete the course.

Cancellations

If you need to cancel your booking, the following charges apply:

  • 28 days or more before the course: Full refund.
  • Less than 28 days before the course: 50% of the course fee payable.
  • 5 days or less before the course: 100% of the course fee payable.

All cancellations must be made in writing by emailing info@optimalfirstaid.co.uk.

Transfers

Bookings are normally non-transferable. However, at our discretion and subject to availability, we may permit a transfer to another learner or an alternative course date.

Only one transfer will normally be permitted per booking. Once a transfer has been agreed, no further transfers or refunds will be available.

Force Majeure

Neither party shall be liable for delays or failure to perform their obligations where this is caused by circumstances beyond their reasonable control, including but not limited to:

  • Severe weather.
  • Fire, flood or natural disaster.
  • Illness, injury or medical emergency.
  • Death or bereavement.
  • Pandemic or public health restrictions.
  • Government restrictions.
  • Industrial action.
  • Transport disruption.
  • Acts of terrorism, war or civil unrest.

Where a course cannot proceed due to circumstances outside either party’s reasonable control, Optimal First Aid Ltd will make every reasonable effort to reschedule the booking to a mutually convenient date. Refunds will not normally be available in these circumstances.

Cancellation by Optimal First Aid Ltd

Whilst every effort is made to deliver courses as scheduled, we reserve the right to cancel or reschedule training due to circumstances including, but not limited to:

  • Instructor illness.
  • Venue unavailability.
  • Insufficient learner numbers.
  • Operational requirements.
  • Circumstances beyond our reasonable control.

If this occurs, we will notify you as soon as reasonably practicable and offer an alternative course date.

If an alternative date cannot be agreed, a full refund of any course fees paid will be provided.

Optimal First Aid Ltd accepts no liability for any additional costs incurred, including travel, accommodation or loss of earnings.

Attendance & Participation

To achieve certification, learners must:

  • Attend the entire course.
  • Be free from work duties and interruptions throughout training.
  • Participate fully in all practical exercises and assessments.
  • Be physically capable of completing the required practical activities, including approximately two minutes of CPR at floor level.
  • Wear suitable clothing for practical training.

Failure to attend a booked course will be treated as a cancellation.

Learners arriving late or leaving early may be unable to achieve the required learning outcomes and may therefore be refused certification.

Health, Fitness & Behaviour

Any medical conditions, injuries or disabilities that may affect participation should be declared at the time of booking so that reasonable adjustments can be considered where appropriate.

Optimal First Aid Ltd reserves the right to remove any learner whose behaviour, conduct or ability compromises safety, prevents learning outcomes from being achieved, or significantly disrupts the course. In these circumstances, no refund will be payable.

Training Venue Requirements (Private Courses)

Where training is delivered at the client’s premises, the client is responsible for providing a suitable training environment.

The venue must:

  • Be clean, well-lit and adequately ventilated.
  • Be used exclusively for the training session and remain free from unnecessary interruptions.
  • Provide sufficient space for classroom learning and practical activities.
  • Allow furniture to be rearranged where necessary for practical training.
  • Comply with relevant Health and Safety requirements.
  • Be available to the trainer at least 45 minutes before the scheduled course start time.
  • Provide suitable parking close to the training venue.

Where outdoor practical activities form part of the course, an appropriate outdoor training area should also be available.

Our trainer will complete a venue-specific risk assessment before training begins.

Optimal First Aid Ltd is not responsible for securing, preparing or cleaning the training venue.

If a suitable venue is unavailable, we may be able to arrange an alternative venue. Additional venue hire charges may apply.

Training Materials

All course materials, presentations and training equipment remain the property of Optimal First Aid Ltd unless otherwise stated.

No training materials may be copied, reproduced, distributed or published without prior written permission.

Resale of Bookings

Course bookings may not be resold or transferred for financial gain without the prior written consent of Optimal First Aid Ltd.

Certification

Certificates may take up to 14 working days to be issued following successful completion of the course. This allows time for our quality assurance processes to be completed and, where applicable, for external awarding organisation registrations to be processed.

Insurance

Clients are advised to obtain suitable insurance to cover illness, emergency or other unforeseen circumstances, particularly where travel or accommodation has been arranged.

Limitation of Liability

To the fullest extent permitted by law, Optimal First Aid Ltd’s liability is limited to the value of the course fees paid.

We shall not be liable for indirect or consequential losses, including travel expenses, accommodation costs, loss of earnings or business interruption.

Nothing in these Terms limits or excludes liability where it cannot legally be excluded.

Data Protection

Personal information provided during the booking process will be processed in accordance with our Privacy Policy and applicable UK data protection legislation. Information will only be used for administering bookings, certification, legal obligations and associated business activities.

Changes to these Terms

Optimal First Aid Ltd reserves the right to amend these Terms and Conditions at any time. The version published on our website at the time of booking will apply.

Governing Law

These Terms and Conditions are governed by the laws of England and Wales. Any dispute arising from these Terms shall be subject to the exclusive jurisdiction of the courts of England and Wales.
